The Health Roundtable is offering three Lean Healthcare Programs in 2008 to introduce managers to the Lean Thinking concepts widely used in manufacturing and now spreading into health care settings. Over 100 managers have now completed the program from over a dozen member health services.

The 3-month programs consist of three workshops to learn the concepts and weekly telephone coaching sessions with each team as they work on real projects to apply the concepts. All programs will be held in Sydney in 2008, to allow participants who are completing a course to share their learnings with new participants starting the next course.

The cost to participate in the program is $10,000 per team of four people from a single organisation working on a single improvement project. It is essential that the team have an executive sponsor coordinating their activities, and that each team member dedicates about 1 day per week to the project activities over the three month period.

The Roundtable programs are limited to about 24 people each.

Your organisation may be interested in a much larger-scale approach that can be brought in house to introduce larger numbers of staff to the concepts more quickly. Our team has developed a one-day overview workshop and a “train-the-trainer” approach for running in-house workshops that we guide initially and transition to your team over several months. Costs will be about $500 per day per participant for the in-house sessions in groups of 20-30 participants, including facilitation, workshop materials, and access to website training materials.

Austin Health recognised a need for improvement to our process of transferring patients from acute to sub acute inpatient beds. A team of 4 was sent to the HRT lean healthcare workshop. The HRT team teaches key principles and skills of lean healthcare at a series of workshops then supports their application to a project. The team achieved a 65% reduction in LOS for patients getting onto the waitlist and significant cost savings in time saved. The program was thoroughly enjoyable with great outcomes that encouraged us to send a second team. We recommend the Health Roundtable Lean Healthcare program to others

Concept

Provide a low-cost, practical tool to collect staff member ideas to improve working conditions in your health service. Commercial surveys are expensive, and academically based surveys often highlight issues outside the control of health service managers. Instead, the goal of a Health Roundtable survey is to identify opportunities for improvement in the areas of:

- Teamwork
- Job Satisfaction
- Perceptions of Management
- Safety and Working Conditions

To save costs compared with paper-based surveys, we use an online survey process, so that anyone with access to the internet (either at home or at work) can complete the survey, and have the results automatically summarised for analysis.

Staff are encouraged to provide more detailed responses when they strongly disagree (or strongly agree) with the survey statements. These detailed responses can then be analysed separately for improvement suggestions by staff members.

The survey tool is designed for hospital-wide usage, and can be customised to change or expand the standard set of 21 statements, modify the analysis, or provide benchmarking across hospitals.

The fee for a customised hospital-wide survey of up to 2000 invited participants is $5,000 plus GST including a standard suite of graphical reports by staff group. Additional staff can be included at $200 per hundred additional staff invited to participate. Additional analysis of the responses can be performed at a cost of $100 per hour.

How to Participate Fully

Designate a staff survey liaison person who will be responsible for promoting the survey to staff in the organisation, and for implementing programs to address issues raised as part of the survey.

Designate an Information Technology liaison person to ensure that staff members have access to the Roundtable’s staff survey website.

Identify a target month for the survey.

Every two years, member organisations participate in a series of "Lessons Learnt" workshops to update each other on their progress on key projects to improve patient care and operational effectiveness. The next program will be held in Sydney on 4-5 June.
